Summary of Position
The Learning Center Office Assistant acts as a key team member with Learning Center and Registration staff to interface between the public and the Institute. This position requires excellent customer service and communication skills. The Office Assistant is responsible for greeting and assisting visitors either in-person or phone, providing support for on-site and phone registrations, managing retail sales on the Point of Sales System, and providing administrative support for the Front Desk and campus programs. This position is based at the Institute’s Environmental Learning Center located in North Cascades National Park on Diablo Lake.

Responsibilities
Front Desk Support including Store and merchandise sales
● Provide professional, friendly customer service at the Front Desk to visitors at the Learning Center or calling on the phone.
● Provide customers with information and answer questions regarding Institute programs, the Learning Center, the North Cascades Institute, and the surrounding areas.
● Manage program check-in for daily and weekend programs and provide assistance to youth and adult program participants.
● Support the Retail Operation by processing sales transactions on the Point of Sales System. Open and close cash register.
● Keep the Learning Center retail store well stocked and tidy at all times. Coordinate retail needs/requests with Retail Manager.
Administration for Programs and Operations
● Provide administrative assistance to Learning Center staff in support of campus programs.
● Create daily and weekend rosters for Learning Center programs.
● Collect and organize confidential registration paperwork while programs are at the Environmental Learning Center; enter data and send related paperwork to the Sedro-Woolley office after programs are complete.
● Assist in reviewing and approving reservations requests for campus space (bunkhouses, classrooms, etc).
● Assist in reviewing meal schedules for upcoming campus programs; identify and send out meal opportunities that are open to Institute employees.
Database entry
● Assist Program Managers with creating campus programs through the Institute’s database, Salesforce.
● Enter anticipated participant names and dietary restrictions into Salesforce programs and assist with assigning lodging for programs/participants.
Registration
● Register participants over the counter or by phone for Skagit Tours and Institute programs on the weekends and as needed.
● Follow up all registrations with confirmation emails.
● Processes registration payments on the Point of Sales System and enter newly registered participant information in database. Work with the Registrar and Accounting department to ensure transactions are accurate and records follow accounting procedures. Maintains data integrity of registered participants for information transfer to key program and facilities staff.
Other
● Regular attendance at staff meetings.
● Transcribe staff meeting notes.
● Attend trainings and hands to work.
● Support emergency response and risk management policies.

Compensation
This is a temporary/seasonal, full time, non-exempt position. The wage is $14.00 per hour and benefits include sick leave and holiday pay.

Housing
Rental housing may be available. Pets and smoking are not allowed on Campus.

Work Schedule
This is a full-time position at 40 hours per week. Work schedule includes weekends.

● Ability to use cash register.
● Ability to work weekends and holidays.

Preferred Qualifications
● Proficient in Microsoft Office.
● Google Suite experience.
● Basic experience with databases.
● Demonstrated ability to prioritize tasks and manage time wisely.
● Comfortable with technology and/or willingness to learn technical tools used within the Institute.
